Privacy Policy

1. Who we are

Educrafters Career Institute ("we", "us") is a Mathematics coaching institute on University Road, Rajkot, Gujarat, India, founded in 2007 by Dr. Jatin Gondalia. We are responsible for the personal information described in this policy.

2. What this policy covers

This policy applies to:

• our website, educraftersrajkot.in;
• our student and parent portal, portal.educraftersrajkot.in (the "ERP portal"); and
• our EduProERP app for Android (the "app").

3. Information we collect

3.1 Enquiry form on the website

When a family submits an admission enquiry, we collect: the student's name, date of birth, phone number, email address, school, board, grade and stream; the parent's name and WhatsApp number; and any message you choose to add.

3.2 Portal and app accounts

Accounts are created by the institute at the time of admission — there is no public sign-up. For each account we hold:

• Students: name, date of birth, login email, phone number, school, board, grade, stream, batches, and a parent's WhatsApp number.
• Parents: name, login email, phone number, and which students they are linked to.
• Teachers: name, login email, phone number, and the batches they teach.

3.3 Academic and fee records

While a student studies with us, we record: attendance (including arriving late or leaving early), attendance at extra and backup lectures, test marks and grades, assignment submission status, fee instalments and whether they have been paid, and study material and announcements shared with their batches.

3.4 Published results and achievements

With a parent's consent, we publish a student's name, school, stream, batch and board result on the Results page of our website, and may mention student achievements in our Newsletter.

3.5 Technical information

Like any website or app, our hosting provider automatically processes basic technical information — such as your device's IP address and browser type — so pages can be delivered and kept secure. Our website loads fonts from Google, which also receives your IP address. We do not use advertising, advertising cookies, or analytics tracking.

The ERP portal may store information on your own device: if you tick "Remember me", it keeps you signed in, and it keeps a copy of recently viewed information so pages load faster. On a shared computer, don't tick "Remember me", and always sign out.

4. How we use it

• To respond to admission enquiries.
• To create accounts and run classes, batches, timetables, tests and assignments.
• To keep students and parents informed about attendance, marks, assignments, extra lectures and fees — including through WhatsApp messages sent by our staff from the institute's number.
• To manage fee instalments and send payment reminders.
• To send occasional greetings, such as birthday wishes.
• With consent, to celebrate results and achievements on our website.

We do not use personal information for advertising, and we do not sell or rent it to anyone.

5. Children's information

Most of our students are under 18, and we take particular care with their information:

• Student accounts are created only at admission, with the knowledge of a parent or guardian.
• We publish a student's result only with a parent's consent.
• We never track, profile, or target advertising at students.
• A parent or guardian can ask us at any time to see, correct or delete their child's information, or to withdraw consent — for example, to remove a published result.

6. Who can see your information

Access inside the portal and app is limited by role:

• Students see only their own records.
• Parents see only the records of their own linked children.
• Teachers see the students in the batches they teach.
• Institute administrators can see all records, to run the institute.

On leaderboards, other students see only a student's name and ranking — never their contact details. Published results are visible to anyone visiting the website.

We may disclose information if required by law or by a lawful request from a government authority.

7. Service providers

• Google Firebase (Google LLC) hosts our website, portal and app data, and handles secure sign-in.
• WhatsApp (Meta Platforms) carries the messages our staff send. Those messages are also subject to WhatsApp's own privacy policy.

8. Where it's stored and how it's protected

Our database is hosted on Google Firebase servers in Mumbai, India. All connections are encrypted (HTTPS). Every account needs a password to sign in, and security rules on our database ensure each person can reach only the information their role allows. Accounts can be deactivated immediately when needed.

9. How long we keep it

• Enquiries: if the student does not enrol, we delete the enquiry within one year of receiving it. If they enrol, the details become part of their student record.
• Student records: kept while the student studies with us, and afterwards only as long as needed for academic and fee records or as required by law, after which they are deleted.
• Published results: kept on the website until a parent or the student asks us to remove them.

10. Your rights

Under India's Digital Personal Data Protection Act, 2023, you — or a parent or guardian on behalf of a child — can ask us to:

• tell you what personal information we hold and how it is used;
• correct or complete information that is wrong or incomplete;
• delete your information, or close your account;
• withdraw consent you have given, such as for a published result; and
• nominate someone to exercise these rights on your behalf.

We will respond within 30 days. If you are not satisfied with our response, you can complain to the Data Protection Board of India.

We may update this policy as our services or the law change. The date at the top shows when it was last updated. For significant changes, we will also inform students and parents through the portal.
